1. Who we are
ReplyPro ("ReplyPro," "we," "our," or "us") is a software service that helps local businesses manage and respond to online customer reviews using AI-generated reply drafts. Our principal place of business is in the United States.
This Privacy Policy describes how we collect, use, and protect information about users of our website at replypro.io and our related services (collectively, the "Service").
2. What information we collect
Information you provide directly
- Business information: Business name, type of trade, city/state, and owner name
- Contact information: Email address and mobile phone number
- Voice profile data: Example replies you paste in, communication style preferences, custom phrases, and onboarding questionnaire responses
- Payment information: Processed exclusively by Stripe, Inc. We do not store credit card numbers or financial account data on our servers
Information we collect automatically
- Review data: Customer review text, star ratings, reviewer names, review dates, and platform source — collected from connected platforms (Google, Yelp, Facebook) on your behalf
- Reply data: AI-generated draft replies and your approved final replies
- Edit behavior: Differences between AI-generated drafts and your final approved text, used to improve your voice profile
- Usage data: Actions taken in the app, generation times, approval rates, and similar operational metrics
- Device and technical data: Browser type, IP address, operating system, and access timestamps
Information from connected platforms
When you connect your Google Business Profile, we access your reviews through the Google Business Profile API using OAuth 2.0. We request read access to your reviews and write access solely for the purpose of posting approved replies. We do not access other Google account data.
3. How we use your information
- Generate AI-drafted reply suggestions for your customer reviews
- Send you SMS and email alerts when new reviews are detected
- Build and continuously improve your voice profile so replies sound more like you over time
- Post approved replies to connected review platforms on your behalf
- Process payments and manage your account and subscription
- Provide customer support and respond to your inquiries
- Detect and prevent fraud, abuse, and security incidents
- Comply with legal obligations
We do not use your review data or voice profile to train general AI models. Your data is used only to generate replies for your account. We do not sell your data to advertisers or data brokers.
4. Who we share data with
We share your information only with the following categories of service providers, and only as necessary to provide the Service:
- Anthropic, Inc. — AI reply generation. Review text and your business name are sent to Anthropic's API to generate reply drafts. Anthropic's privacy policy governs their use of this data. We do not send personally identifiable reviewer information beyond first name and review content.
- Stripe, Inc. — Payment processing. Subject to Stripe's privacy policy.
- Twilio, Inc. — SMS delivery of review alerts. Subject to Twilio's privacy policy.
- Google LLC — Google Business Profile API for reading reviews and posting approved replies. Subject to Google's API Terms of Service.
- Hosting and infrastructure providers — Cloud hosting services that store and process data on our behalf under data processing agreements.
We do not sell, rent, or trade your personal information to any third party for their own marketing or commercial purposes.
5. AI processing and third-party AI providers
ReplyPro uses AI models provided by Anthropic to generate reply drafts. When you generate a reply, we send the following information to Anthropic's API:
- The review text (as written by your customer)
- Your business name, trade type, and owner first name
- Your communication style preferences and example replies (if provided)
Anthropic processes this data to generate a reply draft. This data is sent over encrypted connections. Anthropic's terms prohibit training their models on API inputs by default. For more information, see Anthropic's Privacy Policy at anthropic.com/privacy.
Important: You are responsible for ensuring that any review content sent through our Service complies with applicable privacy laws. Customer reviews that contain sensitive personal information (medical details, financial data, etc.) should be handled with care.
6. SMS and phone communications
When you provide your mobile number during signup, you are opting in to receive automated SMS alerts from ReplyPro. These alerts notify you when new customer reviews arrive and include a link to view the AI-generated reply draft.
SMS opt-in disclosure: By providing your mobile phone number and continuing through setup, you consent to receive automated text messages from ReplyPro regarding your customer reviews and AI-generated reply suggestions. Message frequency varies based on your review activity. Message and data rates may apply. Reply STOP to unsubscribe at any time. Reply HELP for help. See our SMS Terms for full details.
We honor all opt-out requests immediately. When you reply STOP, we will send one final confirmation and cease all SMS communications. We comply with the Telephone Consumer Protection Act (TCPA) and CTIA messaging guidelines.
7. Google Business Profile data
When you connect your Google Business Profile, we use the Google Business Profile API to:
- Fetch your new customer reviews on a regular polling schedule
- Post approved reply text to Google on your behalf
We access only the minimum data necessary. We store your Google OAuth access token in encrypted form. You can disconnect your Google account at any time from your Settings page, which immediately revokes our access. ReplyPro is not affiliated with or endorsed by Google LLC.
8. Data retention
- Account data: Retained while your account is active and for 30 days after deletion
- Review and reply data: Retained for 12 months, then automatically deleted
- Voice profile and edit history: Retained while your account is active
- SMS consent records: Retained for 5 years as required for TCPA compliance
- Payment records: Retained as required by Stripe and applicable tax laws
You may request deletion of your account and all associated data at any time by contacting us at privacy@replypro.io. We will process deletion requests within 30 days.
9. Your rights (CCPA and state privacy laws)
If you are a resident of California or another US state with applicable privacy legislation, you may have the following rights:
- Right to know: Request information about the categories and specific pieces of personal information we collect, use, and disclose
- Right to delete: Request deletion of your personal information, subject to certain exceptions
- Right to correct: Request correction of inaccurate personal information
- Right to opt-out of sale: We do not sell personal information, so this right does not apply
- Right to non-discrimination: We will not discriminate against you for exercising your privacy rights
To exercise these rights, contact us at privacy@replypro.io. We will respond within 45 days. We may need to verify your identity before processing requests.
Note on CCPA thresholds: The CCPA applies to businesses with over $26.6M in annual revenue or that process data of 100,000+ California consumers annually. As a small business, we may not currently be subject to CCPA, but we follow these standards as best practice.
10. Security
We implement technical and organizational measures to protect your information, including:
- Encryption of data in transit (TLS) and at rest
- Secure, server-side storage of API keys and OAuth tokens
- No storage of Anthropic API keys or other secrets in frontend code
- Rate limiting and abuse prevention on all API endpoints
- Access controls limiting data access to authorized personnel
No security system is perfect. In the event of a data breach affecting your personal information, we will notify you as required by applicable law.
11. Children
ReplyPro is intended for use by business owners and operators aged 18 or older. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such information, contact us immediately at privacy@replypro.io.
12. Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email and update the effective date at the top of this page. Your continued use of the Service after the effective date constitutes your acceptance of the updated policy.

Plain-English summary: Use ReplyPro to manage your reviews. Don't misuse it. We generate reply drafts — you're responsible for what you post. We can cancel accounts that violate these terms. No annual contracts. Cancel anytime.
1. Acceptance of terms
By creating an account or using ReplyPro (the "Service"), you agree to these Terms of Service ("Terms"). If you are using the Service on behalf of a business, you represent that you have authority to bind that business to these Terms.
If you do not agree to these Terms, do not use the Service.
2. Description of the Service
ReplyPro provides software tools that:
- Monitor your Google, Yelp, and Facebook business reviews (depending on your plan)
- Generate AI-drafted reply suggestions using large language model technology
- Alert you via SMS and email when new reviews are detected
- Post approved replies to connected platforms on your behalf
AI-generated content: All reply drafts are generated by AI and are suggestions only. You review and approve every reply before it is posted. ReplyPro does not post anything without your explicit approval. You are solely responsible for the content of replies you choose to post.
3. Accounts and eligibility
- You must be at least 18 years old to create an account
- You must provide accurate and complete information during registration
- You are responsible for maintaining the security of your account credentials
- You may not share your account with others or create accounts for businesses you do not own or operate
- One account per business. Agency plans allow multiple business locations.
4. Payments, credits, and cancellation
Free plan
The free plan includes 3 AI reply credits at no charge. No credit card required.
Pro plan
The Pro plan is billed at $19.00 USD per month. Your subscription renews automatically each month unless cancelled. You receive 500 reply credits per billing period. Unused credits do not roll over.
Credit packs
Credit packs are one-time purchases that never expire. Credits from packs are used after your monthly subscription credits are exhausted. Credit packs are non-refundable once purchased.
Cancellation
You may cancel your subscription at any time from your account settings. Cancellation takes effect at the end of the current billing period. We do not offer refunds for partial billing periods. Your data remains accessible for 30 days after cancellation.
Price changes
We will notify you at least 30 days in advance of any price changes. Continued use after the effective date constitutes acceptance.
5. Acceptable use
You agree not to use the Service to:
- Post fake, fabricated, or misleading reviews or review responses
- Harass, threaten, or defame customers, reviewers, or competitors
- Violate Google's, Yelp's, or Facebook's review policies or terms of service
- Generate or post content that is discriminatory, illegal, or violates any person's rights
- Attempt to manipulate review platforms or their ranking algorithms
- Access the Service through automated scripts, bots, or data scraping tools
- Share, resell, or sublicense access to the Service without our written consent
Violation of these restrictions may result in immediate account termination without refund.
6. Intellectual property
The ReplyPro platform, including its design, code, and systems, is owned by ReplyPro and protected by applicable intellectual property laws.
You retain ownership of your business information and the review data you bring to the Service. You grant ReplyPro a limited license to process your data for the purpose of providing the Service.
AI-generated reply drafts are provided to you for your use. You are responsible for reviewing them before posting.
7. Disclaimers and limitation of liability
THE SERVICE IS PROVIDED "AS IS" WITHOUT WARRANTIES OF ANY KIND. ReplyPro does not guarantee the accuracy, quality, or appropriateness of AI-generated reply content. You are solely responsible for reviewing all AI drafts before posting.
ReplyPro's liability to you for any claim arising from your use of the Service shall not exceed the amount you paid us in the 12 months preceding the claim. We are not liable for indirect, incidental, or consequential damages.
You acknowledge that posting AI-generated content is your choice and your responsibility. ReplyPro is not liable for any consequences resulting from replies you choose to post to review platforms.
8. Google API compliance
ReplyPro's use of Google APIs complies with Google API Services User Data Policy. Our use of data obtained through Google APIs is limited to the functionality described in this agreement. We do not use Google user data for advertising or to build user profiles for purposes unrelated to the Service.
ReplyPro is an independent service. We are not affiliated with, endorsed by, or sponsored by Google LLC.
9. Termination
Either party may terminate the agreement at any time. We reserve the right to suspend or terminate accounts that violate these Terms, engage in fraudulent activity, or cause harm to other users or the Service — with or without notice depending on the severity of the violation.
10. Governing law and disputes
These Terms are governed by the laws of the State of Delaware, without regard to conflict of law principles. Any disputes shall be resolved through binding arbitration under the American Arbitration Association rules, except that either party may seek injunctive relief in court for IP violations.
Class action waiver: You waive the right to participate in class action lawsuits against ReplyPro.

Program description
ReplyPro sends automated SMS text messages to business owners who have opted in to receive:
- Notifications when new customer reviews are detected on connected platforms
- Links to view and approve AI-generated review reply drafts
- Account and service-related alerts
ReplyPro does not send promotional or marketing SMS messages unrelated to your review activity.
Message frequency
Message frequency varies based on your review activity. Businesses with high review volumes may receive multiple messages per day. You can manage your notification preferences in Settings.
Supported carriers
ReplyPro SMS service is supported by major US carriers including AT&T, T-Mobile, Verizon, Sprint, and others. Carrier support may vary.
How to opt out
Reply STOP to any ReplyPro text message to immediately unsubscribe. You will receive one confirmation message and no further SMS from ReplyPro. You can also disable SMS alerts in your account Settings at any time.
Per updated FCC rules effective April 2025, we honor opt-out requests from any reasonable channel within 10 business days. In practice, STOP commands are honored immediately.

Cost
ReplyPro does not charge for SMS alerts — SMS is included in your plan. However, your mobile carrier's standard message and data rates may apply.
Privacy
Your mobile phone number is used only to send review alerts and service notifications. We do not share your phone number with third parties for marketing purposes. See our Privacy Policy for full details on SMS data handling.
Consent is not a condition of purchase
You are not required to consent to SMS messages as a condition of purchasing any ReplyPro service. SMS alerts can be disabled in Settings while still using all other features of the Service.
TCPA compliance
ReplyPro complies with the Telephone Consumer Protection Act (TCPA), the FCC's one-to-one consent rule effective January 27, 2025, and CTIA messaging principles. Consent is collected directly from each user and is not shared across marketing partners.
